1. Curriculum planning
This is an on-site service aimed
at reviewing the current timetable and determining and creating a curriculum
plan for the next academic year.
Audience - members of the SMT who are responsible for curriculum planning
and timetabling.
Outcomes - detailed spreadsheets summarising curriculum plan, structures required,
teaching groups requirements and full curriculum analysis. An additional service
will be offered to present curriculum plan to senior managers/governors etc.
2. Preparation of the database for the new timetabling season.
This will be an on-site service and will cover aspects
such as initial year-end (roll forward of data), setting up of teaching groups,
creation of sources, event specifications and all things that are necessary
for successful timetable delivery to staff and individual pupils.
Audience- Office staff who are responsible for entry of timetable-related
data and the person(s) responsible for the timetable construction.
Outcomes - the creation of a new dataset that is fully prepared for the timetabling
process.
3. Preparation of the Scheduler file
This is an off-site service for those who have purchased services 1 or 2.
All data in the curriculum plan will be entered in Scheduler so that the
school will then be in a position to use this for timetable cosntruction
Outcomes: A .ttd(Schdeuler file) ready for timetable construction.
4. Timetable construction
This is a combination of off and on-site consultancy. The
aim is to work with the timetabler to construct the school timetable. The
decision making will be done by the timetabler. CTC consultants will offer
suggestions and do much of the actual processing of the timetable.
Audience - the school timetabler(s)
Outcome - a completed timetable.
5. Timetable integration
This is an on-site service aimed at finalising the essential aspects of the timetabling process that will ensure that individual staff and students have accurate timetables. It will include assistance in the population of teaching groups, printing timetables, and updating teaching groups with staff information. Checks will also be made on things that need to be done in preparation for the final year-end process. Audience - Data input staff responsible for the maintenance of teaching group information. Outcome - confidence that everything is in place for the start of the academic year as far as timetabling and teaching group information is concerned.
6. Timetable integration for RM and Phoenix schools.
This is an on-site service to integrate the timetable
from Scheduler and produce all the files for import into third-party systems.
It does not include the import of the data into third-party software.
Audience - Data base administrators
Outcome - full set of export files.
7. Timetable maintenance
This can be an off-site or on-site service and is aimed at helping schools
to keep their timetables up-to-date throughout the year.
Outcomes - accurate
and up-to-date timetable
8. Emergency services.
Situations in schools can change very rapidly and if key timetabling personnel
leave suddenly or experience difficulty with the processes, the construction
of the timetable can be at risk. CTC offer an on-site service to help in
these situations. The exact nature of the problems will vary from school
to school and hence it is difficult to determine the extent of help that
may be required. The minimum requirement would be a single on-site consultancy.
This initial consultancy would be aimed at determining the extent of the
problem, creating a recovery plan and doing as much initial work as possible.
Audience - staff
who will be involved in the recovery plan.
Outcomes - a
detailed recovery plan with associated documentation.
9. Introduction to timetabling for new timetablers.
This a 2-day on-site course for new timetablers. The course
is for up to 5 people/schools. It covers the principles of timetabling. It
will include the following aspects:
- reviewing your current curriculum
- the management of curriculum modelling
- setting out and costing the curriculum model
- Implementation of the model
Audience - staff who are new to timetabling and who will have responsibility
for timetable construction.
Outcomes - a good understanding of the principles of timetabling and the curriculum
in your school.
10. Setting up the school timetable from scratch
This is a 4 day on-site course for up to 5 people/schools and covers all
aspects of timetabling from the creation of the curriculum plan through
to validation of data and timetable construction.
Audience - staff
who are responsible for timetable construction or data entry.
Outcomes - the
aim is to move as far as possible to the completion of the school timetable.
Much will depend of the size of the school, the preparation that has been
undertaken by the course participants and the complexity of the curriculum.
11. Manual timetable construction.
This on-site consultancy is aimed at helping schools who have constructed
their timetable on a board, on paper or using some other timetabling package.
This can also be offered as an off-site service.
Audience - staff
who are responsible for the entry of the timetable into a MIS.
Outcomes - a
good understanding of all the steps that need to be followed to ensure that
a timetable is accurately entered into the MIS and can be changed at any
time in the year. With small to medium size schools a large proportion of
the timetable should be entered within a day.
12. Getting more from your timetable
This on-site consultancy is aimed at those who have used scheduler to construct
their timetable but want to get more out of the system. It is designed to
be a bespoke course to suit the needs of individual schools but will typically
include aspects of curriculum planning, auto-scheduling, assignment of teaching
groups and printouts.
Audience - existing
timetablers who have used Scheduler.
Outcomes - a
thorough understanding of the scope and flexibility of Scheduler.
